Routine Letters and Goodwill Messages

Writing is one way of communicating information to individuals.  The writing process has three dimensions to it Prewriting, Writing and Proofreading. Before actually composing a letter you should prewrite. In this section you would analyze the purpose of this letter are you intending to write and clearly define it will this letter be an internal or an external communication. Anticipate your audience by clearly understanding the context in which they will be receiving your letter. Adapt  your letter by selecting the appropriate form, you may wish to use either the direct or indirect form of letter writing.

Writing letter requires research. This section would utilize various tools such as academic journals, brochures, websites etc that are reputable. To answer any question that may have been addressed or that you with to address, define what information will be covered in which section of the letter by making an outline and organizing. Each type of letter would follow various formats but they will contain introductory sentence and/or paragraph introducing the subject in a body paragraph where information will be presented. In conclusion, the writer will inform the receiver of any further required action and/or any final decision. Always think of your reader for their part in which the issue is being addressed. Make complete sentences out of your outlined key points by composing a first draft. your letter may have several drafts depending on the content, style, and form of the letter.





An important component of a good wriging is revising. It is suggested once you have finished writing  the letter, occupy yourself with a different task for some time and come back to the letter. Reread it and make sure the one of the letter suits your audience. Depending on your audience, use a formal or informal tone. The next task you must accomplish would be proofreading. In any form of written communication it is imperative that you do not make grammatical mistakes, typos, and/or spelling mistakes. Always double check any spelling mistakes. Always double check any facts that you may have included in your letter. A final review of the appropriate form is necessary in this section. Check if the printed copy looks attractive by evaluating it from a reader's perspective. Reread the whole letter finally and check whether it flows smoothly and the message that you are conveying is clear.
